A PMS with add-ons, next to an operating system
| PMS with separate tools | Hotel operating system | |
|---|---|---|
| Reservations | In the PMS | In the platform |
| OTA distribution | A separate channel manager, connected to the PMS | Managed from the platform |
| Guest messages | A separate messaging tool | In the platform, on the booking |
| Housekeeping | A separate app, or paper lists | Created from the bookings |
| Finance | Exports to spreadsheets | Folios, payouts and statements reconciled in the platform |
| AI | Inside each tool, seeing part of the picture | Across the whole hotel |
Why it matters once AI is involved
An AI agent can only work with what it can see. When a hotel runs on separate tools, the messaging tool has no idea the room isn't ready yet, and the pricing tool doesn't know there's a group on hold. On one platform, the agent answering a guest can see their booking, their room's status and what they've paid.
That's also why we care so much about control. Our agents suggest, your team approves, and every decision is written down.
What it covers
Property management
Reservations, guests, folios and invoices. See the hotel PMS.
Distribution
Availability, rates and restrictions on every OTA, and their bookings coming back. See the channel manager connection.
Direct bookings
Your own booking site. See the booking engine.
Guest messages
Every channel in one inbox, plus the messages that go out during a stay. See guest messaging.
Operations
Cleans, inspections and repairs, driven by the bookings. See housekeeping.
Pricing and finance
Prices set with the market in view, and payments matched to the stays. See revenue management and payments.
When it's the right choice, and when it isn't
One platform pays for itself when your team spends its day moving information between tools, when the same guest shows up in four systems with four spellings, or when nobody can tell you which number is right at the end of the month.
It isn't for everyone. A group with its own developers and very specific needs in one area might be happier building its own stack on an open PMS. Our comparison with Apaleo goes through the difference honestly.
Questions
Is a hotel operating system the same as a PMS?
Not quite. A PMS handles reservations, guests and billing. A hotel operating system includes the PMS and also runs distribution, guest messages, operations, pricing and finance, all on the same data.
Do I still need a channel manager?
Vector Guest connects to Channex for distribution, and you manage availability, rates and restrictions from inside Vector Guest.
