For aparthotels

Aparthotel software for the building and the stay

If you run an aparthotel, you probably have a small team, no one at reception at 2am, and guests who stay longer than a hotel's. We built Vector Guest for exactly that: bookings, the OTAs, guest messages, cleaning and the money in one place, so your team can look after guests instead of copying things from one tool to another.

At a glance

  • Every apartment in every building sits on one booking calendar.
  • Airbnb, Booking.com and Expedia stay in sync through our Channex connection.
  • Guests get their arrival guide before they travel and their entry code on the day.
  • A checkout creates the clean, and your team sees it on their phones.

What your day looks like with Vector Guest

  • Late arrivals, no front desk

The arrival guide and entry code go out on their own. If a guest can't find the building at midnight, they message you on WhatsApp and you see it next to their booking.

  • Cleaning that follows the bookings

Every checkout creates its clean, in the order guests arrive, with each apartment's own checklist. Nobody has to type up the list in the morning.

  • Longer stays

Extend or move a stay on the calendar. Nights, extras and city tax collect on the stay's folio as they happen.

  • No double bookings

OTA and direct bookings land on the same calendar, so an apartment that's sold is closed everywhere.

  • Your own bookings

A booking site of your own with card payment, or one your guests can simply chat with.

  • More than one building

Each building keeps its own way of working, and you can still see them all together.

Why hotel and rental software don't quite fit

Most hotel software expects a reception desk and a daily clean. Most holiday-rental software expects homes spread across a city, each with its own owner. An aparthotel is neither. It's a building of apartments run as one business, where guests let themselves in and often stay a week or more.

So we organise everything by building, apartment type and apartment, send the information a guest needs to arrive on their own, and plan the cleaning from the bookings rather than the other way round.

What to ask any aparthotel software

Whoever you end up choosing, these questions tell you quickly whether a system was built for aparthotels or bent to fit them.

  • Can it tell my apartments apart?

A two-bedroom on the third floor should be priced, sold and cleaned as itself, not as "room type B". Here's how our PMS handles it.

  • Do the OTAs get my restrictions, not just availability?

With longer stays, minimum nights and closed-to-arrival dates matter as much as price, and every channel needs them. See our channel manager connection.

  • Can a guest arrive with nobody there?

Arrival information, the code on the day, and somewhere to ask a question at night, in their own language. See guest messaging.

  • Is the cleaning plan built from the bookings?

It should come from the checkouts and the next arrivals, not from a list someone writes each morning. See housekeeping.

  • Will the month-end add up?

Nightly charges and city tax on each stay, OTA payouts matched to the stays they cover, and a pack for your accountant. See payments and reconciliation.

  • Can I take bookings myself?

Every direct booking is one you don't pay commission on. Our direct booking savings calculator shows what that's worth to you.

Before you switch

A move goes much faster if you have the data ready: future reservations with their guests and payments, your rate plans and their rules, each apartment's details and photos, and which room type maps to which OTA listing. That last one lives in your channel manager and the OTA extranets, so export it before anything changes.

It's also worth writing down what your team still does by hand: the arrival messages, the cleaning plan, the end-of-month numbers. Those are the first things one system should take off your plate, and the best things to walk through in a demo.

Questions

What is the best software for an aparthotel?

One that handles reservations, the OTAs, guest messages, cleaning and payments together, and was made for buildings of apartments rather than a hotel with a reception or rentals spread across a city. That's what we built Vector Guest for.

Can guests check in without a reception?

Yes. Vector Guest sends each guest an arrival guide and, on the day, their entry code. If they need help, they can message your team on WhatsApp.

Does Vector Guest replace my PMS and channel manager?

It replaces your PMS. For the OTAs it connects to Channex, so you manage availability, rates and bookings from Vector Guest.
